FIRST GEN FAMILY OFFICE CHIEF OF STAFF IN NYC

 

  • Remote | Ideally based in NYC or Miami, USA
  • $200,000+ gross p.a. (DOE) | Plus Employee Benefits
  • Permanent Contract
  • 3+ years’ experience as a Chief of Staff
  • Must have the right to work in the USA

 

This is an amazing opportunity for an experienced Chief of Staff for an ultra-high net worth, professional family to join their first generation family office based in New York.

 

Reporting directly to the Principals and working closely with the COO and CFO, you will be supporting the family with a myriad of requirements and will be someone who is able to assist them in whatever aspect they need. You will be working as part of a supportive team in a fully collaborative environment where no job is too big or too small.  

 

As someone who has come from a family office and ideally having dealt with private estate and household operations, you will have an innate understanding of how to handle confidential and sensitive information, making sure the family’s security is a priority at all times.

 

You will have proven loyalty to previous Principals and be someone who can be trusted to act as a representative of the family when needed, constantly building and maintaining relationships and being an all-around people person.

 

You will be joining a well-organised family office and as such the Principals are looking for candidates who are forward thinking, able to take ownership of existing and new projects and able to help them take their office to the next level. Your role will start off more in building the back office, overseeing administration of the family's properties and the Principals lifestyles, however, due to the nature of the Principals' businesses you will ideally have a background in finance, wealth management and investor relations. This will be particularly useful as your role evolves to support the family office and future business endeavours.

 

Your responsibilities will include (but are not limited to):

 

  • Primary gatekeeper to the Principals
  • Management of 3 properties and scheduling of team of up to 10 employees 
  • Planning, organizing and hosting events on behalf of the Principals
  • Responsible for all purchases, gifting, returns, logistics and memberships
  • Organizing travel and working with consultants to confirm details
  • Working closely with vendors and contacts – acting on behalf of the family when needed
  • Ensuring the family office executives are all well-informed of deadlines
  • General administration as needed
  • Scheduling/coordinating drivers
  • Concierge style duties; bookings, itineraries and researching
  • Responsible for the ordering and provisioning of properties, managing all deliveries and unboxing 
  • Ensuring properties are guest ready 

 

An ideal candidate will be/have:

 

  • A self-driven individual who is able to work independently, taking ownership of your workload and reacting with appropriate urgency to frequently changing priorities
  • Someone who thrives in a fast-paced environment, while being able to prioritise multiple tasks and projects whilst always looking for ways to improve
  • A problem solver with a positive attitude
  • A social individual who is able to identify opportunities and build relationships effectively
  • Tactful with colleagues and have a high level of integrity and sound judgment when dealing with discrete information
  • A top-level communicator
  • Strong IT skills and advanced knowledge of Asana and Microsoft Office
  • Strong knowledge and understanding of the New York City area
  • Strong knowledge and understanding of the Miami area or be willing to learn 
  • Intrinsically detail orientated
  • Spanish Language skills (not a prerequisite)
  • Previous experience managing purchases of cars and properties
  • A background in events and special projects is highly desirable
  • An individual with strong interests and hobbies outside of work
  • A notary or willing to become a notary in New York and Florida

 

A generous salary will be offered depending on the right candidate’s experience and you will have the ability to work on site, on the go and remotely as duties require. A full package and benefits is also open to discussion.
