In this exciting key role, you will support the day-to-day operations of the retreat, ensuring that every service and experience exceeds the expectations of the retreat’s discerning clientele. Reporting to the Head of Operations, you will work closely with various departments, from guest relations to housekeeping, F&B, and wellness services, to uphold the operational excellence that defines our client’s brand. As an ambassador for this luxury retreat, your focus will be on seamless coordination, meticulous attention to detail, and the consistent delivery of an unforgettable guest experience.

Key Responsibilities:

Operational Support:

  • Support the smooth day-to-day running of the retreat, including managing the flow of activities, services, and guest interactions.
  • Liaise between departments to facilitate communication, resolve issues, and optimise operational efficiency across all areas.
  • Maintain high standards of service across all guest touchpoints, from check-in to departure, ensuring seamless guest experiences.

Guest Experience

  • Support the Guest Relations team in handling guest requests, feedback, and special requirements to create personalised and memorable experiences.
  • Act as a key point of contact for VIP guests, ensuring all their needs are met with discretion, professionalism, and the highest level of service.
  • Ensure that all guest-facing areas are pristine, well-maintained, and in line with the brand’s luxurious standards.

Team Collaboration & Leadership:

  • Suporting the Head of Operations, you will work closely with – and support – other department heads, including F&B, wellness, and housekeeping, to ensure the retreat's operational goals are met.
  • Support the training and development of team members, helping to build a cohesive, high-performing team that reflects the retreat’s ethos of excellence.
  • Assist in coordinating team schedules, ensuring adequate coverage during peak times and managing shift changes effectively.

Health, Safety & Compliance:

  • Ensure adherence to health and safety protocols across the retreat, maintaining compliance with internal policies and external regulations (e.g., fire safety, food safety, hygiene).
  • Participate in routine safety checks and risk assessments, ensuring that safety standards are consistently met.

Operational Reporting & Improvement:

  • Prepare operational reports, including guest feedback, departmental performance, and potential improvements.
  • Identify areas for operational improvement, collaborating with leadership to implement enhancements and streamline processes.
  • Assist in monitoring budgetary performance and cost control, identifying opportunities for efficiencies without compromising service quality.

Requirements:

  • Previous experience in luxury hospitality, wellness, or lifestyle retreats with a strong understanding of operational management.
  • A proven track record of working in a dynamic, high-touch environment where attention to detail and guest satisfaction are paramount.
  • Excellent communication skills, both verbal and written, with the ability to liaise with high-net-worth clients and senior management.
  • Strong organisational skills, with the ability to multitask and manage competing priorities in a fast-paced, luxury setting.
  • Leadership qualities with a proactive, hands-on approach to team management and operations.
  • Knowledge of industry standards and best practices in luxury hospitality, health & safety, and wellness operations.
  • Ability to work flexible hours, including evenings, weekends, and public holidays as required.
